1. Maintain Excellent Organization

TeamworkMatrix offers a well organized structure of drawers, folders, and sub-folders. It is simple and natural to stay organized over time.

 

Projects are normally kept in folders, which reside in drawers. Complex projects often require sub-folders to keep tasks clearly defined and assigned.

 

TeamworkMatrix offers up to ten levels of nesting in the structure.

2. Team Membership

Each team member is listed in the Teams tab.

 

Tasks assigned to any team member can be viewed here, giving group leaders a real-time look at what each person is working on today, or has on his or her agenda this week.

3. Delegate and Track Outside your Core Team

TeamworkMatrix allows members to assign and track tasks to non-members. This is very helpful, as work often must be managed outside of the core group.

4. Create a Task for a Team Member

Creating a task for another team member is simple.

 

Go to a project folder. Press create. Type in the task, then select the pulldown to reassign the task from yourself to another team member. That's it! A notification is on its way to your assignee.

5. Notice of an Assignment

After the next sync cycle, the teammate receiving an assigned task receives an alert and a notice screen on their BlackBerry smartphone.

 

This notice must be accepted or cleared by the receipient before they can continue to use their BlackBerry. If the task is rejected, it returns to the original creator of the task.

6. Other Notices

TeamworkMatrix offers many levels of notices to ensure that team members are aware of the changing task environment.

 

The notices tab aggregates notices that are selected for a team member, based on ownership of tasks, project folders, or subscription settings. Notice history is also available on a per task basis. Finally, the cabinet view drawer and folder names become bold when a item changes in your "notices" sphere.

7. My Tasks vs. Team Mode

TeamworkMatrix offers the ability to toggle back and forth between viewing My Tasks and Team Tasks.

 

While in My Tasks mode, the entire TeamworkMatrix on the BlackBerry only shows tasks that are assigned to owner of that smartphone. A quick toggle back to Team View Mode reveals all the tasks for the entire group. The toggle is available on the menu button.

8. Filters for Greater Focus

TeamworkMatrix offers filters that can be configured and applied to any folder or system view.

 

This key capability helps the person focus, preventing pointless review and worry over items that are not actionable right now.

9. Views by Date Due

TeamworkMatrix allows your team to focus on the job at hand by offering task views by date.

 

These alternate views let a team member look at items due today or this week, instead of causing unwelcome stress by always looking through the mountain of tasks in each project folder, many of which are not scheduled anytime soon.

10. View by Priority or by Status

TeamworkMatrix can also be viewed by status or priority, giving you insight into the tasks on the agenda, while preventing the stress of being overwhelmed.

 

For example, a person can easily dive into the Priority / Critical View to see which items are the most important on the agenda.

11. Inject New Tasks from E-Mail

E-mail tends to be a daily source of tasks for everyone.

 

With TeamworkMatrix, there is no reason to retype - simply click on the BlackBerry menu while in your inbox and Inject the email into a project folder as a task. Injection is also available from other BlackBerry applications such as calendar and phonelog.

12. Summary View of a Project Folder

When you click into a project or sub-project folder from the cabinet view, a summary of tasks is presented.

 

Note that this view can present either your tasks or team tasks, and is adjusted for any other filters that may be active such as hide completed items.

13. Adjustable Summary Header

Note that the user can adjust the amount of detail available in the summary header (yellow area) by project folder by editting the folder settings.

 

This is very helpful when setting up lists, as many lists do not require the extra detail found on bigger tasks.

 

The default for the yellow summary header is defined in profile/preferences and can be different based on personal preferences of each team member.

14. Quick Entry of a Task

When a new task is created, TeamworkMatrix offers the quick entry screen. This view is designed to make it simple and fast for most users to add tasks without modifying all the details.

15. Full Details in Edit Mode

When a task is edited, a tabbed edit view is offered, enabling modification of all the details regarding the task.

 

Note that it is quick and simple to rotate through the tabs by holding the ALT key on the keyboard and scrolling left or right.

16. Sync Frequency

Depending on the needs of your workgroup, TeamworkMatrix sync frequency can be adjusted in profile/preferences.

 

The default frequency is 90 minutes, but fast-paced groups can adjust this frequency to a super-quick near-real-time 2 or 5 minutes if preferred.

17. Safe and Secure Database

Information exchanged within the group is encrypted using AES-256 before leaving each BlackBerry, and decrypted upon arrival to a BlackBerry.

 

Your data is always safe from loss. By the fact that information is stored and exchanged across multiple devices and the servers, the loss or damage of a specific BlackBerry does not mean there is loss of data within the workgroup. A new device can be provisioned and running in just a few minutes.

18. Subscribe to Folders for Notices

Team members automatically receive notices when they either own the task or the project folder that a task is contained within.

 

TeamworkMatrix also provides a convenient ability to subscribe to folders that a person has interest, but does not own directly. When a change occurs to a task in that folder, a notice is generated to draw a person's attention to the progress.

19. Programmable Custom Dimensions

TeamworkMatrix offers four programmable dimensions that can be used for special purposes. The dimensions work in much the same way as status or priority, where a task can be flagged to group and be viewed from a different perspective.
